If you're having them look at your schedule and try to accommodate them, and if they're trying to be accommodating, then I'd say that's a good sign. If the problem is that you're having to make the schedule up as you go along, then that's just going to make the problem bigger. Apparently, your son is a pretty good planner, so if he can come up with things on his own and make adjustments on the fly, I doubt that he has a problem with making up the schedule or not.
As for the other stuff -- I think you should try to start trying to plan your week well in advance. My son is an only child and always had a tight schedule. This made me a bit nervous, since I'm not used to being so heavily scheduled myself, but I seemed to be able to handle it pretty well. We'd usually have our week planned by the end of the first week of classes, and could work on the details of what was going on the weekends between school and other activities.
